ATTENDANCE & TIMESHEET PLATFORM FOR FIELD OPERATIONS

Built for a workforce-operations company

A multi-tenant attendance, timesheet and project-management platform replaced manual registers and spreadsheets. Geofenced punch-in, biometric verification, granular roles and rate-card billing now produce accurate timesheets and invoices automatically.

Accurate attendance, billing and audit trail

Challenges

Attendance was recorded manually and reconciled later, while field staff worked across offices, client sites and home. Timesheets, project economics and invoicing lived in separate tools, so payroll errors and billing disputes were routine.

Manual attendance

Paper and spreadsheet registers were easy to dispute and slow to reconcile.

Field-to-office gap

Staff working off-site had no reliable way to record attendance or prove location.

Disconnected billing

Logged hours, role rates and invoices were calculated by hand across different systems.

Constraints

Multi-tenant architecture with strict data isolation between clients.

Granular permissions that every later module can rely on.

Geofencing and biometric checks without blocking legitimate field work.

Sensitive data encrypted at rest (AES-256).

Mobile and web parity for field and office staff.

Architecture

Role and permissions layer

A custom role builder defines what each role can see and do. Attendance, finance and HR modules all consume the same permission model.

RBAC · Custom roles

Attendance engine

Punch-in validates geofence radius, biometrics and work mode (office, home or client site) before recording the event.

Mapbox · Biometrics · Geofencing

Timesheet and project layer

Logged time is grouped by project and role, with exception logic for late, missing or out-of-geofence punches.

Projects · Exceptions · Approvals

Financial engine

Rate cards convert hours into actual spend, then generate expenses and branded PDF invoices with accounting integrations.

Rate cards · QuickBooks · Xero

Audit and tenancy

Every action is logged, and tenant boundaries are enforced at the data layer so one client never sees another.

Audit logs · Multi-tenant DB

Data
Flow

  1. 1

An employee punches in from mobile or web.

  2. 2

The attendance engine validates geofence, biometrics and work mode.

  3. 3

Exceptions are raised for late, missing or out-of-radius punches.

  4. 4

Approved time is grouped into project timesheets.

  5. 5

Rate cards compute actual spend and expenses.

  6. 6

Branded invoices are generated and synced to accounting.

Delivery

Foundation

Multi-tenant data model, RBAC, audit logs and CI/CD.

Mobility

Geofencing, work modes, alerts and field connectivity.

Financials

Rate cards, expenses, invoices and accounting integrations.

Hard
Problems

Geofence accuracy

Problem: GPS drift caused legitimate punches to fail and false exceptions to pile up.

Resolution: Radius, accuracy and work-mode rules are configurable per site, and uncertain punches are routed to a manager rather than rejected outright.

Permission granularity

Problem: A simple admin/manager/employee split could not express real operational boundaries.

Resolution: A custom role builder was built first, so every later module inherited a consistent permission model.

Field connectivity

Problem: Field staff often punched in with weak or intermittent connectivity.

Resolution: Punch events are queued locally and reconciled when connectivity returns, with timestamps preserved.

Results

Accurate attendance

Geofence and biometric checks replace manual registers and reduce disputes.

Automated billing

Timesheets flow into rate-card calculations, expenses and invoices without manual reconciliation.

Auditable operations

System-wide audit logs capture every attendance, approval and billing action.

Lessons

  • Build the permission model before the modules that depend on it.

  • Geofencing is a policy control, not a GPS accuracy contest.

  • Audit logging from day one turns disputes into lookups.

FAQ

Frequently asked questions

It records when and where employees work, converts that time into project timesheets and uses role rates to calculate billable spend and invoices. It replaces manual registers and spreadsheet reconciliation.

Each site has a configured radius. A punch-in is validated against the employee’s location and work mode, and punches outside the radius become exceptions for a manager to review rather than automatic rejections.

Yes. The platform is multi-tenant with data isolation between clients, and a custom role builder controls access within each tenant.

Yes. Rate-card calculations feed expenses and branded invoices, with connectors for QuickBooks and Xero.
